Terms & Conditions
1. Definitions

1.1  “Club”, “Reeds”, “we”, “us” or “our” means Reeds Health Club & Spa and the legal entity operating the health club. Yew Lodge Limited trading as CP East Midlands Airport, 33, Packington Hill Kegworth Derbyshire DE74 2DF

1.2  “Member”, “you” or “your” means the person named on the membership agreement.

1.3  “Membership” means the membership purchased by you and the access and benefits associated with the applicable membership category.

1.4  “Membership Fee” means the fee payable for your membership, as stated at the time you join or renew, subject to these Terms.

1.5  “Minimum Membership Period” means the initial minimum period of 12 months applicable to monthly memberships unless your membership documentation expressly states otherwise.

1.6  “Opening Hours” means the Club’s published operating hours, which may be updated from time to time in accordance with these Terms.

2. Membership Types and Eligibility

1.       2.1 From 1 September 2026, Reeds will operate the membership categories and benefits published at the time of purchase or renewal. Unless expressly stated otherwise, membership categories provide access during the Club’s published Opening Hours.

2.       2.2 The specific price, benefits, access rights and any category-specific restrictions applicable to your Membership will be confirmed when you join or renew and may be set out in a separate membership schedule.

3.       2.3 Membership is personal to the named Member and may not be sold, transferred, lent or shared without Reeds’ prior written agreement.

4.       2.4 Membership is available to persons aged 16 years or over unless Reeds expressly agrees otherwise for a particular programme or membership arrangement.

5.       2.5 Reeds may require satisfactory identification or other reasonable verification before granting access to the Club.

3. Membership Commencement and Minimum Term

6.       3.1 Monthly memberships are subject to an initial Minimum Membership Period of 12 months from the membership commencement date, unless the membership documentation expressly states otherwise.

7.       3.2 During the Minimum Membership Period, cancellation will normally only be available in the circumstances described in Section 8, or where cancellation is otherwise required by law.

8.       3.3 Following completion of the Minimum Membership Period, a monthly membership will continue on a rolling monthly basis until cancelled in accordance with Section 7.

9.       3.4 Annual memberships run for 12 months from the membership commencement date unless otherwise stated in the membership documentation. Annual memberships do not automatically renew unless the renewal arrangement has been expressly agreed with you.

10.   3.5 Reeds will provide clear information about the minimum term, recurring payment amount, joining fee and other mandatory charges before you commit to the Membership.

4. Membership Fees and Payment

11.   4.1 Membership Fees, joining fees and other mandatory charges will be stated clearly before purchase.

12.   4.2 A joining fee of £25 may apply to new memberships. Reeds may reduce or waive the joining fee as part of a promotion or specific offer.

13.   4.3 Monthly Membership Fees will be collected on the 1st day of each month. Where the 1st falls on a weekend or bank holiday, payment may be collected on the next working day.

14.   4.4 Where a membership commences part-way through a billing period, any initial pro-rata charge will be explained to you before payment is taken.

15.   4.5 You must ensure that the nominated payment method remains valid and has sufficient funds available when payment is due.

16.   4.6 Where a payment fails, Reeds may reattempt collection and will notify you where appropriate. You remain responsible for Membership Fees that have properly fallen due.

17.   4.7 If an amount remains unpaid after reasonable attempts to collect it, Reeds may suspend membership access and, where appropriate, use a third-party debt collection service. Reeds will not charge disproportionate or unlawful collection costs.

5. Price Changes

18.   5.1 Reeds may review Membership Fees from time to time to reflect changes in the cost of operating the Club, facilities, services, staffing, utilities, supplier costs, taxation or other relevant business costs.

19.   5.2 Membership Fees will not be increased more than once in any 12-month period unless an increase is required because of a change in VAT, other mandatory taxation or a legal requirement.

20.   5.3 Reeds will normally give at least 30 days’ written notice of any Membership Fee increase, stating the new fee, the date it will apply and, where reasonably practicable, the principal basis for the change.

21.   5.4 Where a price increase is material and you have a contractual right to cancel as a result of the change, Reeds will explain that right in the notice.

22.   5.5 Nothing in this section limits any rights you may have under applicable consumer law.

6. Membership Freeze

23.   6.1 Subject to the applicable membership policy, a Member may request a Membership freeze for a minimum period of two months, up to a maximum of six months during each membership year.

24.   6.2 Membership freeze requests must be submitted to Reeds in writing at least one full calendar month in advance of the requested freeze commencement date. Membership freezes can only commence on the 1st day of a calendar month and must apply for a minimum of two complete calendar months. During an approved freeze, a £10 monthly freeze fee will apply to individual memberships, or £15 per month for joint or family memberships, in place of the Member’s usual Membership Fee. The applicable freeze fee will be collected on the normal 1st-of-the-month payment date.

25.   6.3 Unless Reeds agrees otherwise in writing, the Minimum Membership Period and any applicable cancellation notice period will be extended by the number of complete calendar months for which the Membership is frozen.

26.   6.4 A freeze does not cancel any Membership Fees or other sums that had already fallen due before the freeze began.

27.   6.5 Reeds may decline a freeze request where reasonable contractual or operational conditions have not been met. Any such decision will be made reasonably and consistently.

28.   6.6 During an approved Membership freeze, the Member will not be entitled to use the Club's facilities. The Member's normal Membership Fee will be suspended for the duration of the freeze and replaced by the applicable freeze fee set out in Section 6.2.

Example: A Member wishing to freeze their Membership for two months from 1 September must submit their request by 31 July. The Membership will be frozen from 1 September to 31 October, with the applicable freeze fee collected on 1 September and 1 October. The Member’s normal Membership Fee will resume from 1 November.

7. Cancellation After the Minimum Membership Period

29.   7.1 Once the Minimum Membership Period has been completed, a monthly Membership may be cancelled by providing written notice to Reeds. Cancellations received by the last day of a calendar month will take effect at the end of the following calendar month.

30.   7.2 The Membership will remain active and the applicable Membership Fee will continue to be payable until the cancellation effective date. The final Membership Fee will be collected on the 1st day of the final month of membership.

31.   7.3 For example, where a cancellation request is received at any time during September, the Membership will remain active until 31 October, with the final Membership Fee collected on 1 October. No further Membership Fees will be collected after the cancellation effective date.

32.   7.4 Cancellation requests must be submitted directly to Reeds by email, in writing at Club reception, or through any online cancellation process made available by Reeds. Cancellation requests submitted to a third-party payment provider will not constitute valid notice.

33.   7.5 Reeds will acknowledge receipt of a cancellation request and, where reasonably practicable, confirm the cancellation effective date and final payment due.

34.   7.6 Once a cancellation has been confirmed, the Member may continue to use the Club until the cancellation effective date, subject to their Membership remaining in good standing and compliance with these Terms and the Club’s rules.

35.   7.7 Where a Member has outstanding Membership Fees or other charges that became due before the cancellation effective date, cancellation of the Membership does not remove the Member’s responsibility to pay those amounts.

8. Early Cancellation and Exceptional Circumstances

Reeds recognises that circumstances may arise during the Minimum Membership Period which make continued membership unreasonable. Subject to reasonable evidence, Reeds will consider early cancellation requests in the following circumstances:

8.1 Redundancy or significant loss of employment: Where the Member has been made redundant or has experienced a substantial involuntary loss of employment income, supported by reasonable documentary evidence.

8.2 Relocation: Where the Member permanently relocates their principal residence or place of work to a location that makes continued use of the Club unreasonable. Reeds may reasonably request evidence of the relocation.

8.3 Medical incapacity: Where a suitably qualified medical professional confirms in writing that the Member is medically unable to participate in exercise or use the Club’s facilities for the foreseeable future.

8.4 Other exceptional circumstances: Reeds may consider other exceptional circumstances on a case-by-case basis. Any decision will be made reasonably and will not limit a Member’s statutory rights.

8.5 Where early cancellation is approved, Reeds will confirm the effective cancellation date and any final payment due. Reeds will not impose a disproportionate early termination charge.

8.6 Reeds may request reasonable evidence to verify an early cancellation request. Personal information supplied for this purpose will be handled in accordance with Reeds’ Privacy Notice.

9. Suspension and Termination by Reeds

36.   9.1 Reeds may suspend or terminate a Membership where the Member commits a serious breach of these Terms or the Club’s rules, or where continued access would reasonably present a risk to the safety, security or wellbeing of Members, guests, residents or staff.

37.   9.2 Serious misconduct may include violence, threats, harassment, intimidation, discriminatory abuse, theft, deliberate property damage, serious safety breaches, fraudulent use of membership credentials, or use of the facilities while materially impaired by alcohol, illegal drugs or other substances.

38.   9.3 Where the breach is capable of being remedied and is not serious, Reeds will normally give the Member a reasonable opportunity to remedy the breach before termination.

39.   9.4 Where immediate action is reasonably necessary to protect safety, security or the Club’s legitimate interests, Reeds may suspend access immediately and investigate the circumstances.

40.   9.5 Where Reeds terminates a Membership because the Member is not at fault, Reeds will provide any refund or other remedy required by law.

41.   9.6 Any decision to suspend or terminate will be made reasonably and in accordance with applicable law.

42.   10.1 Last admission to the Club will normally be one hour before the published closing time.

43.   10.2 The pool area will normally close 30 minutes before the published Club closing time.

44.   10.3 Opening hours may vary on bank holidays, public holidays, during special events or for operational reasons. Reeds will provide reasonable notice of planned changes where practicable.

45.   10.4 Reeds will not use a general right to change opening hours in a way that materially reduces the agreed membership service without reasonable notice and appropriate consideration of the Member’s rights.

11. Children’s Hours and Under-16 Access

46.   11.1 Children may only use the pool facilities during the applicable children’s hours and where permitted by the Club’s current children’s swimming and pool rules.

47.   11.2 Children must be accompanied and appropriately supervised by a responsible adult in accordance with the Club’s rules. Reeds may specify additional supervision requirements based on the age of the child and the facilities being used.

48.   11.3 Children aged 4 years and under may use the pool facilities free of charge, subject to the Club’s children’s hours, swimming rules, supervision requirements and capacity restrictions. This applies regardless of whether the child is accompanied by a Member, guest or non-member.

49.   11.4 Children’s hours may change during school holidays, bank holidays, maintenance periods or special events. Reeds will publish material changes where reasonably practicable.

50.   11.5 For the purposes of these Terms, a Child is any person aged 15 years or under.

12. Guests and Visitors

51.   12.1 Guests may only use the Club where permitted by the applicable membership terms and guest policy and must comply with the Club’s rules at all times.

52.   12.2 Guest fees are as follows:

Adult guest: £20 per person.

Adult guest accompanied by an eligible Member: £10 per person.

Child guest aged 5–15: £5 per child.

Child aged 4 or under: Free of charge, regardless of whether they are accompanied by a Member, guest or non-member.

53.   12.3 Members are responsible for ensuring that their guests comply with the Club’s rules while visiting the Club.

54.   12.4 Reeds may refuse guest access where reasonably required for capacity, safety, operational or conduct reasons.

13. Hotel Residents

55.   13.1 Hotel residents may use the fitness suite and applicable spa/wet-side facilities during the published operational hours, subject to the Club’s rules and capacity.

56.   13.2 Hotel residents may bring children during the published children’s hours, subject to the Club’s supervision and safety rules.

57.   13.3 Resident access is not a membership and does not create the rights of a paid Club Member unless expressly stated otherwise.

14. Health, Safe Exercise and Use of Facilities

58.   14.1 Members are responsible for ensuring that they are fit and able to participate safely in exercise and use the Club’s facilities. Reeds provides a Health Commitment Declaration, which is displayed within the Club and provided to new Members as part of their membership welcome information. Members are expected to read and consider the information provided before participating in exercise or using the Club’s facilities.

59.   14.2 Members must follow all reasonable instructions provided by Reeds staff and must use equipment and facilities safely, responsibly and only for their intended purpose. Gym inductions are available to all Members on request, and Members are encouraged to take advantage of an induction if they are unfamiliar with the equipment or require guidance on its safe use.

60.   14.3 Members should seek appropriate medical advice before participating in exercise or using the Club’s facilities where they have concerns about an existing health condition, injury or their ability to exercise safely.

61.   14.4 Reeds may restrict or refuse access to a particular facility or activity where it reasonably considers this necessary to protect the health and safety of the Member, other Members, guests, residents or staff.

62.   14.5 Members must immediately inform a member of Reeds staff if they become unwell, injured or otherwise unable to safely continue exercising or using a facility.

15. Club Rules and Member Conduct

63.   15.1 The Club’s rules and code of conduct form part of these Terms and are displayed at relevant Club locations, including the fitness suite, poolside, reception, terrace, changing areas and toilets.

64.   15.2 Members, guests and residents must behave respectfully towards staff and other users and must comply with reasonable safety instructions.

65.   15.3 Any person reasonably believed to be under the influence of alcohol, illegal drugs or another substance that materially impairs safe use of the Club may be refused entry or required to leave.

66.   15.4 Violence, threatening behaviour, intimidation, harassment, discriminatory abuse, theft, deliberate damage or other serious misconduct may result in immediate suspension or termination.

67.   15.5 Members must not interfere with the enjoyment, privacy or safety of other users.

16. Facilities, Classes and Availability

68.   16.1 Membership provides access to the Club and the facilities and services included within the applicable membership category, does not guarantee that every individual facility, item of equipment, class or service will be available at all times or without interruption

69.   16.2 Facilities or equipment may occasionally be unavailable because of cleaning, safety checks, routine maintenance, repair, staff availability, operational requirements or circumstances outside Reeds’ reasonable control.

70.   16.3 Reeds will aim to minimise disruption and, where reasonably practicable, will communicate planned closures and expected downtime.

71.   16.4 Class timetables, instructors, equipment and session availability may change from time to time. Where classes form part of a membership benefit, availability remains subject to booking and capacity.

17. Maintenance and Temporary Closures

72.   17.1 Reeds may temporarily close all or part of the Club where reasonably necessary for maintenance, repair, cleaning, safety, emergency response, utilities, regulatory requirements or circumstances beyond its reasonable control.

73.   17.2 Reeds will communicate planned material closures where practicable and will seek to reopen affected facilities as soon as reasonably possible.

74.   17.3 Short-term or occasional closures do not normally entitle Members to compensation where the affected service remains substantially available and the closure is reasonable and proportionate.

75.   17.4 Where a key facility included in a Member’s Membership is unavailable for more than one continuous calendar month and the disruption materially affects the Membership, the Member may request cancellation without an early termination charge, subject to reasonable notice and any rights required by law.

76.   17.5 Where the entire Club is closed for an extended period, Reeds will consider an appropriate membership extension, freeze, credit or other remedy having regard to the length and cause of the closure and applicable consumer law.

18. Personal Belongings

Members are responsible for their personal belongings. Reeds will take reasonable steps to maintain secure facilities but does not accept responsibility for loss, theft or damage except where liability cannot lawfully be excluded or limited.

19. Complaints

77.   19.1 Members who wish to raise a complaint should contact Club management or use the complaints process published by Reeds.

78.   19.2 Reeds will aim to acknowledge and investigate complaints fairly and respond within a reasonable period.

79.   19.3 Nothing in this section limits any statutory rights available to consumers.

20. Data Protection

Reeds processes personal information in accordance with applicable data protection law and its Privacy Notice. The Privacy Notice explains what information Reeds collects, why it is used, how long it is retained and the rights available to individuals.

21. Changes to These Terms

80.   21.1 Reeds may update these Terms where reasonably necessary to reflect changes in law, regulation, Club operations, facilities, security, technology or other legitimate operational requirements.

81.   21.2 Reeds will not use this clause as a general right to make a significant or unexpected change to the core bargain without giving appropriate notice and, where required, a genuine right to exit without penalty.

82.   21.3 Where a change materially affects a Member’s rights or obligations, Reeds will provide reasonable advance notice and explain the change.

22. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Subject to those protections, Members remain responsible for using the Club and its facilities with reasonable care and in accordance with the Club’s rules.

23. General

83.   23.1 If any provision of these Terms is found to be unlawful, invalid or unenforceable, that provision will be treated as modified or removed only to the extent necessary, and the remaining provisions will continue to apply.

84.   23.2 A failure or delay by Reeds to enforce a provision does not amount to a waiver of that provision.

85.   23.3 These Terms, together with the applicable membership documentation, published membership schedule and Club rules, form the agreement between Reeds and the Member.

86.   23.4 If there is a conflict between these Terms and a specific written membership offer agreed with the Member, the specific agreed offer will take precedence to the extent of the conflict.

24. Governing Law

These Terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights that apply.
